January 9, 2010 - Club Breakfast Meeting Minutes

OPE President Mary Allen Clark was out of town, so Bruce Ramsey called the meeting to order and chaired the meeting There were no new members present. There was distribution of the previous meeting's minutes (Sept. 26, 2009); motion to approve the minutes by Frances, second by Janet; the minutes were approved.
Treasurer's report: Janet Lenfant reported on the Club's current financial status / bank balance -which continues to be stable and satisfactory.
Old Business:
1) Previous events: October 3rd Kinetic Event: Very successful walk, with about 100 walkers. Nov. Twilight Walk in Forks: A jovial group of about 106 attended, over 75% from off the Peninsula. No complaints or problems about these events reported / discussed.
2) 2010 Schedule:
 The Forks YRE is ready. There was discussion about changing that walk from Oct. 9th to a summer date, but the idea was tabled.
 Reverse Sol Duc: There was a motion by Richard, second by Janet, to reverse the Sol Duc walk - discussion with agreement followed - motion passed
by vote.
 Hurricane Hill: There was discussion about removing the road section from this walk (from Lodge to starting point) . . . everyone agreed, so George and Richard will go up to the Ridge and make the change.
 Volunteers signup up to be walk leaders / contacts for some of the upcoming Club Walks: Ft. Flagler Feb. 27 (Frances and Susan), PT Waterfront April 10 (Frances and Susan), Marymere Falls June 12 (George C.), PA Historic July 10 (Billie Grauberger).
2010 Sponsorships: Janet Lenfant said that sponsors are still needed for these three 2010 walks (Dungeness Spit, Fort Townsend, PT Waterfront) - Sheila Everett will sponsor the Dungeness Spit, so that leaves the other two walks needing sponsors.
New Business:
1) Triangle of Fire Event: (2 days, 3 Clubs, 3 separate walks over Memorial Day weekend May 29,30) OPE is sanctioned for 2 day event at Fort Worden. Kitsap Club is sponsoring Ft. Flagler, and the Tulip Trekkers are doing Fort Casey. Work on the brochure and routes still needs to be done. There was agreement that only one of these walks needs to be completed in order to earn a patch. For our OPE walk at Fort Worden, Frances said the starting point will be the Jefferson County fairgrounds, with a walk to Fort Worden. For those coming by ferry, a shuttle bus ride to the fairgrounds would be available. Frances and Bruce will work on the details for the brochure. The possibility of offering picnic food on the Monday was discussed - the members decided no, too involved . . . but maybe coffee and muffins could be offered.
ESVA: - The NW Pathfinder issue was presented by Bruce in great depth. It is a combined Wash/Oregon Publication, and many clubs want lots of free extra copies to distribute, but this is too expensive. There are several options to address this problem, but the one chosen by our club is that all clubs in good standing receive 5 free marketing copies, and ten copies for each event.
There was a motion by Frances Johnson, second by Jack, that our delegate Sharon Streitt vote for that option at the Jan. 30th ESVA meeting . There is a certificate in each new walker packet for three issues, also.
The Kitsap Volksporters Club brochure was distributed, showing their 2010 YRE and seasonal walks.
Next Meeting: March 13, 2010 John Wayne Marina walk with lunch afterwards - nomination meeting.

OPE President Mary Allen Clark chaired the meeting, called to order a 12:10pm. The minutes of the June meeting and agenda for the present meeting were distributed. No corrections to the previous minutes were made, motion made, accepted, passed to approve June minutes.
Treasurer's Report: Not in attendance, no report given.
Awards: 150 Events Carol and Gene Alfarone, 300 Events Rob Williams, 400 Events Sharon Streitt, 22,000 km Bob Forcier.
Old Business:
 Kinetic Event October 3rd: worker sign-up sheets still had openings, route was discussed and trail marking times/date.
 Thanks to Kay Peters for getting permission to replace the file box at the Red Lion. Thanks to Richard Hansen for fixing/placing the cabinet.
 Twilight Event November 14th: worker sign-up sheet still had openings, `Workers Walk' will be October 31st , 9AM Forks Transit Center. Our thanks to Steve Leggett for the wood for Apple Awards, to Stephanie Swensson for cutting the apples and leading the paint committee and Janet Lenfant for great design and prep with the brochure as well as our Apple Award.
 OPE's 2010 YRE's/Seasonals: Bell Hill will be on hold for 2010; Olympic Game Farm and Twilight( Forks) will be added as YRE's; Hurricane Ridge route will be changed so there will be very little road walking.
 OPE was well represented with walkers attending and the OPE Banner for the ESVA 25th Anniversary, Lakewood.
 BBQ Anacortes -Thanks to Sharon and Fred Fisher for great walks/ great food. All have recovered from the yellow jacket “upset”.
 Canadian Friendship Exchange 2010: OPE Hosts July 18th (Sunday) Lavender Festival. Sue Pechina has done a grand job the past many years. OPE Travels to Victoria August 8th(Sunday).
New Business:
 Committee to develop 2010 OPE walk calendar: volunteers were Frances Johnson, DarLyne Cashman.
 OPE needs sponsorships for our 18 walks for 2010. If you can help find willing Sponsors especially lunch places with a meeting area space, that would be great.
 Club T-shirt policy has been changed. A motion made and seconded to allow Club T-shirts to be purchased OR awarded for working at 2 events. After discussion, motion passed.
 Triangle of Fire Event proposed for May 29, 30, 31, 2010 - Victor McAllister. Conclusion of the club was we could only work one day. The plan as we see it would be Saturday - Kitsap - Ft. Flagler with help from OPE: OPE Sunday - Ft. Worden - with help from Kitsap: Monday - Tulip Trekkers - Ft. Casey. The president is sending a letter to the clubs presidents and Victor with this information. We will wait for further decisions on their part.
 Mary Allen explained the AARP Volkssport program from ESVA for October Events. AARP members who join the area club at an event in October will receive a free New Walker Packet, be a free walker. When the walkers information plus AARP number is submitted to ESVA our club will be reimbursed for the New Walker Packet.
 Regional Conference - Anchorage, Alaska August 3-8, 2010. There will be 6 5K/10K walks, 2 bikes, 1 swim.
 Hosting the AVA Convention 2013 was discussed EVER SO Briefly…noting that attendance at conventions has become much more expensive even attending meetings!
 AVA Survey Results:
 Improving our club's interaction with AVA Headquarters: “Good service and information: Our Regional Director: “GOOD”: The National Exe. Council: “We don't know them especially if not involved as an officer”.
 AVA Conventions - held more often, less, different time of year? “There were comments about Texas in June, Southern states perhaps hosting earlier or later in the year.
 How might AVA and clubs encourage more candidates to run for RD positions. ???
 Beyond hosting walks what outreach efforts has your club made to spread the word about AVA, etc…” We have a great publicity person that uses many different resources in our local area and beyond.
 What is the best thing about being a Volkssport participant? People you meet / friends made. Places you visit and the many things you see that you might not see otherwise.

June 13, 2009 - Club Meeting Minutes

OPE President Mary Allen Clark chaired the meeting and called it to order at 12:15pm. There was distribution of the previous meeting's minutes (March 14, 2009); there were no changes or corrections noted. George C. made a motion to approve the minutes; second by Bob - the minutes were approved.
Treasurer's report: Janet Lenfant reported on the Club's current financial status / bank balance -which continues to be stable and satisfactory.
Awards: Mary Allen noted the most recent awards earned by club members for distance walked (KM) and numbers of events. Members earning awards were: Carol and Gene Alfarone, Glenda and Richard Cable, Bob and Ingrid Forcier, Kathy Freeny, and Frances Johnson.
Old Business:
1) Kitsap Event June 20, Hansville: Rob Williams gave update - this will offer 3 choices (5, 11, 21K) and consists of new trails / route - very beautiful. He distributed flyers about the event, and passed around a sign up sheet for additional workers needed.
2) Hood Canal Bridge closure - Mary Allen thanked all the club members who did carpooling and picked up walkers from the Kitsap side of the bridge during the closure, so that they could participate in walks.
3) October 3rd Kinetic Event: Distributed informative flyers about this Port Townsend walk (5, 10K).
4) T-Shirt order: This has been completed, all members have received the shirts they ordered.
New Business:
1) Canadian Friendship Walk July 26, 2009 - This will be held during the Arts in Action weekend. We will meet the Canadian walkers at the ferry at 7:40am, and carpool them out to Sul Duc for the walk, then bring them back into town to allow them to enjoy the activities before their departure. To avoid wasted time, Mary Allen will see if they'd like us to provide box lunches - Victor McAllister made a motion that we provide the lunches, second by Sue - motion passed. Victor volunteered to be in charge of the lunches, if needed.
2) Canadian Friendship Walk -Victoria, August 9, 2009: Our club will travel to Victoria for this walk.
3) 2010 Canadian Friendship Walk: After discussion, we decided to schedule this walk for the third weekend of July next summer, rather than the Arts in Action weekend.
4) Sanctioning of 2010 walks - changes, etc: It was suggested that we change the starting point for the Hurricane Ridge walk, to get walkers away from the busy traffic in the parking lot. Also, an additional walk may be included in the schedule, and perhaps another walk deleted . . . to add more variety. Victor McAllister emphasized the importance of having a good variety of walks to please most walkers, with less emphasis on high attendance to generate income. Some walks can be put on hold for a year or two, then re-introduced into the yearly calendar. George suggested a woodsy walk on the Miller Peninsula - there are popular trails in this area which may be on State property - but this might not be able to be sanctioned in time. Rob Williams gave info on the Mt. Townsend day hike, which does have a 2,307 foot elevation during the 6.5 mile roundtrip hike. This would be more of a “hike” than a walk. There was a motion by Victor McAllister to allow the Kitsap Club to sponsor this route as a seasonal walk - second by Janet Lenfant - motion passed. Rob Williams will present this idea to the Kitsap Club.
5) Forks “Twilight-Inspired Vampire Walk” - Nov. 14, 2009. A map and route description of this proposed walk was distributed, with much discussion following. There were changes suggested to minimize exposure to traffic during this Forks walk which would include points of interest from the Twilight book/movie. This walk would be held one week before the next Twilight series movie debuts (New Moon). There was a motion by Victor McAllister to proceed with this walk and get it sanctioned; second by Bob Forcier - motion passed. This would also be a year-round 10K walk in 2010.
6) Red Lion Hotel - Walk Box: It has come to our attention that some of the Red Lion employees are unfamiliar with the location / existence of the OPE walk box behind the reception desk counter - we will look at options to move the walk box to make it more accessible to walkers.
Reports:
ESVA: - 25th Anniversary Celebration in Lakewood, WA - July 11, 2009. The deadline for signups for the BBQ and shirt is June 25th.
OPE Committees:
Publicity: Richard Hansen had nothing new to report - he received kudos from the club members on the excellent job he is doing in publicizing our OPE walks and events.
Trailmasters: no report, nothing new.
Discovery Trail: Jack Clark said our assigned maintenance section has been sprayed, and is currently looking good.

OPE President Mary Allen Clark chaired the meeting and called it to order at 11:50am. She gave thanks to Kathy and Jack Fletcher for sponsoring today's Old Fort Townsend walk. There was distribution of the previous meeting's minutes (Jan. 10, 2009); the minutes were approved.
Treasurer's report: Janet Lenfant reported on the Club's current financial status / bank balance -which continues to be stable and satisfactory.
2009 Sponsorships: President Mary Allen Clark announced that sponsors are still needed for these 2009 walks (PT Waterfront, PA Waterfront,Troll Stroll) and said anyone interested in sponsoring one should contact her.
Old Business:
1) October 3rd Kinetic Event: Still trying to locate a starting point that won't cost any money.
2) New Walks / changes: Members asked to submit ideas for new walks or changes to existing walks - the Miller Peninsula was suggested - but won't know more until May. Anderson Lake and Gibbs Lake also suggested as sites for new walks.
Old Fort Townsend: Possible budget cuts could result in the park's closure, so walkers might have to park outside a locked gate.
3) T-Shirt order update: Long sleeved T-shirts not available in the teal color - short sleeved only. Need minimum of 12 (each style) to place order. Catalog was distributed. Members decided that they want to pick out their own colors - Mary Allen will take orders by phone. The “official” shirt will still be the short sleeved teal T-shirt with previous OPE logo.
4) Kitsap Event June 20, Hansville: Rob Williams gave update - this will offer 3 choices (5, 11, 21K) and is not the regular Hansville walk. He showed a map of the walk routes and described them, and showed a photo of the patch (for 21K walkers.) It will be a big event, helpers needed - workers walk 2 weeks beforehand.
5) Hood Canal Bridge closure: Frances Johnson described the different transportation options available for walkers during the Hood Canal Bridge closure. All are free. She expects the bridge will be reopened before the Kitsap Hansville walk.
New Business:
1) AVA Convention June 22-26 in placeStateTexas: Mary Allen passed around registration information.
2) Dungeness River Festival (at Audubon Center) Sept 25, 26: There was discussion about setting up an OPE info booth at the Festival - no new walkers recruited at last year's event. This also conflicts with a worker's event on 9/26. Frances Johnson made a motion that Club not have a booth this year; second by Kathy Fletcher - motion passed.
3) Victoria Phoenix Festival April 17-19: Mary Allen distributed info on this event, which includes a choice of walks in the placeEsquimalt area outside the city.
4) International Discovery Walk Festival Vancouver, WA April 24-26: Mary Allen said info on this walk can be found in the Pathfinder, if interested.
5)Geo-caching: There was discussion about the current popularity of geo-caching, and whether adding this option to some of our Volksport walks might attract new members to the OPE Club. This has been done by other clubs. No decisions made at this time.
Reports:
ESVA: - no report
AVA - V.P. John Ferguson passed away March 9th in Dallas. A sympathy card will be sent on behalf of our Club.
Peninsula Trails Coalition membership: Janet Lenfant asked for discussion about whether the Club should continue our membership - the $50 annual payment is due soon. Frances Johnson made a motion to continue membership, there was a second by Bob - motion passed.
OPE Committees:
Publicity: Richard Hansen has made a “sign-up” sheet - one will be placed in each book at the walk box locations - new walkers / recruits can use this to request information from or about the OPE Club.
Trails: Our assigned maintenance section of the McDonnell Creek trail is in good shape.

OPE President Mary Allen Clark chaired the meeting and called it to order. After distribution of a copy of the previous meeting's minutes (Nov. 8, 2008), there was a motion by Jack Fletcher to approve the minutes; a second by Bob Forcier, and the motion was approved unanimously.
Treasurer's report: Janet Lenfant gave the treasurer's report. Revenue from dues and donations have approximately equaled expenses since the last meeting, so the account balance has been pretty stable.

Old Business:
1) The Walk Box in Sequim has been moved to the QFC store - thanks for Richard Hansen's help.
2) Frances Johnson is still working on getting a starting point for the October Kinetic Event
3) Janet Lenfant has put the 2009 walk schedule on the OPE website. Due to a scheduling conflict for the July 11 Spruce Railroad Trail walk, the members decided to drop that walk from the 2009 schedule.
4) Janet Lenfant has completed the 2009 OPE brochure, but will distribute new copies after making some minor changes.
5) Bruce Ramsey and Rob Williams reported that the Kitsap Club has already sold 159 Firehouse Challenge books. They brought the new 2009 Kitsap Volksport Club YRE brochure to this meeting.
Walk approval for the scheduled June 20 Hansville Walk is pending - if too difficult to get approval, this might be changed to a different walk.
6) Mary Allen Clark reminded everyone that the club is still looking for a volunteer webmaster.
7) Per the club's previous vote, a small table was recently purchased to be used for walk signups.
8) Spring 2009 PlaceNameHood PlaceTypeCanal bridge closure: Mary Allen reported that there will be bus service available for walkers traveling from outside the placePeninsula - more details to come later.
New Business:
1) Club T-shirts: Mary Allen summarized the club's previous policy of giving an OPE shirt to members who had worked at two events or more. There was general agreement about now selling a shirt to any member who wants one - there are very few shirts remaining, so a new price quote from Captain T's was obtained. The cost for short sleeve T-shirts would be $11.00 each plus tax, and an order of 24 shirts would be $286.18. Members should contact Janet or Mary Allen to put in a shirt order (size). We will also get price quotes for long sleeved T-shirts and sweatshirts. We will decide on a (multiple) shirt order at the next meeting in March.
2) Newsletter - OPE used to have a newsletter, but we'd need a volunteer writer to start one up again. Mary Allen passed around a copy of the Capitol Volksport Newsletter as an example. Anyone interested in writing and producing a newsletter should let her know.
3) Biannual Publicity Contest: Volksport Clubs can enter their brochures, websites, logo designs, etc in a national contest - contact Mary Allen Clark for more information.
4) New Walks, Walk changes for 2010: Janet Lenfant announced that these will need to be sanctioned by July 2009, so will need to be decided well before then - can't make last-minute changes. Submit suggestions to the trail master.
OPE Committees: There were no new reports.
